Team Member Privacy Notice

1. Purpose of This Notice

This notice is for employees and team members who have been invited to join a business on Quibit Suite. It explains what personal data the platform collects about you, how it is used, and what rights you have.

Note: Your employer (the business owner) is the data controller for data collected about you within their Quibit Suite account. Quibit, Inc. is the data processor — we store and process the data on your employer's behalf.

Your Employer Controls Your Business Data

The business that invited you to Quibit Suite controls what is recorded about your work activity. For questions about your employer's data practices, contact them directly. For questions about how Quibit, Inc. protects that data, contact us.

2. What Data Is Collected About You

When you join a business on Quibit Suite, the following data is collected:

2.1 Identity & Account Data

Name and display name

Email address and/or phone number (used for invitation and login)

Profile photo (if you choose to upload one)

Role and job title assigned by your employer

2.2 Work Activity Data

Tasks assigned to you, their deadlines, and your completion status

POS transactions you process on behalf of the business

Messages you send in business team channels you are a member of

Login times and active session information

Actions you take within the platform (product edits, invoice creation, etc.)

2.3 Attendance & Scheduling (if enabled)

Shift schedules assigned by your employer

Clock-in and clock-out records

Leave requests and approval status

Attendance features are optional and must be explicitly enabled by your employer. If your business does not use them, this data is not collected.

3. How Your Data Is Used

Your data is used for the following business purposes:

3.1 Operational Use

Authenticate you and control your access to business features

Assign tasks and track their completion

Attribute POS transactions and edits to the correct team member (accountability)

Facilitate communication within your business team

Generate business reports that may include activity attributed to you

3.2 Security & Audit

Maintain an audit trail of actions taken within the business platform

Detect unauthorized access or unusual activity

Resolve disputes or investigate incidents

Audit logs are permanent — actions you take on the platform are recorded and cannot be deleted by you or your employer.

4. Who Can See Your Data

Your work activity data is visible to the following parties:

4.1 Your Employer (Business Owner/Admin)

Full visibility of your task assignments and completion history

POS transactions processed under your account

Login times and active session status

Messages in business channels you are a member of

Your assigned role and permissions

4.2 Other Team Members

Your name and profile photo are visible to other team members in the same business

Messages you send in shared team channels are visible to channel members

Your role and title may be visible within the team depending on employer settings

4.3 Quibit, Inc.

We process your data only to operate the platform

Quibit support may access your account data when handling a support request from your employer

All internal access is logged and audited

4.4 Who Cannot See Your Data

Other businesses on the Quibit Suite platform cannot see any of your data

Your data is not shared with third-party advertisers

Your employer's customers cannot see internal team data

5. Your Rights

As a team member on Quibit Suite, you have the following rights regarding your personal data:

5.1 Rights You Can Exercise Directly

Update your own profile information (name, photo, phone number) in account settings

View your own task history and completion records

Leave optional team channels

View which channels you are a member of

5.2 Rights Mediated by Your Employer

Request a copy of work activity data attributed to you (submit to your employer first)

Request correction of inaccurate personal information held by the business

Request deletion of personal data upon leaving the business (subject to audit retention requirements)

Since your employer is the data controller, requests related to business records should be directed to them. If they do not respond, you may contact Quibit, Inc. directly.

5.3 Rights with Quibit, Inc. Directly

Access your Quibit/QuiTalk account data (separate from Suite business data)

Delete your personal Quibit account at any time (this does not remove you from employer's business records)

Contact Quibit privacy team for requests your employer has not addressed within 30 days

6. When You Leave the Business

When your employment ends or your access is revoked by your employer:

6.1 Immediate Effects

Your access to all business features is revoked immediately

You are removed from all business channels

You cannot view business data, reports, or communications

6.2 Data Retained After You Leave

Your task completion records and POS transaction history remain in the business audit trail

This data is retained for up to 3 years for employment accountability purposes

Your personal contact details are retained only as long as the employer needs them

You may request deletion of personal contact details (name, phone, email) from your employer after leaving

Work activity records (what tasks you completed, what sales you processed) are part of the business's permanent audit log and cannot be deleted — this is standard employment record practice.

7. How Your Data Is Protected

Quibit, Inc. applies the following protections to your personal data on the platform:

7.1 Security Protections

Your login credentials are encrypted — never stored in plaintext

All platform communication is encrypted in transit (TLS 1.3)

Your data is isolated to your employer's business — no cross-business leakage

Role-based access ensures only authorized roles can see your activity records

8.1 Contact Your Employer First

For questions about what your employer has recorded about you, requests to access or correct your data, or concerns about how your employer uses your information — contact your employer directly, as they are the data controller.

If your employer does not respond within 30 days, or if you have concerns about Quibit, Inc.'s own data practices:

Compliance: This Team Member Privacy Notice applies to employees and staff invited to use Quibit Suite by their employer. It is provided by Quibit, Inc. in compliance with GDPR Article 13/14 (information to be provided to data subjects) and equivalent obligations under other applicable privacy laws.
